Nucleus — Privacy Policy

Nucleus is a private, internal support assistant for the AFH team. It answers questions about SAP and internal systems, on the website and via WhatsApp. This policy explains what information Nucleus handles and why. Nucleus is an internal tool for a limited, authorised group of team members — it is not a public service.

Who can use Nucleus

Access is restricted. On the website, users must sign in with an authorised account. On WhatsApp, only phone numbers on an approved allow-list receive answers; messages from any other number are declined and not processed further.

What information we handle

How your information is used

Your question is sent to Google's Gemini AI, together with the team's internal knowledge documents, solely to produce an answer for you. Your messages are used only to answer you. They are not sold, advertised against, or shared with anyone outside the operation of this tool.

Each of these services processes data under its own terms and privacy policy.

Data retention

Nucleus does not keep a permanent database of your conversations. Short-term context is held in memory only and cleared automatically. Basic operational logs (for example, that a question was answered) may be kept temporarily for reliability and troubleshooting.

Your choices

To stop using Nucleus on WhatsApp, simply stop messaging it, or ask an administrator to remove your number from the allow-list. For any questions about your data, contact us below.
